 What if I miss my shift?

Everything at Swan River operates on a "two-strikes" policy. We know everyone makes mistakes, and those who are inclined to do work-study tend to be very high-minded individuals. Teachers and students alike are allowed one accidental occassion of missing a shift. After this, their shift or class will be given away.

What if I am a teacher and I check-in my own class?

Please buy yourself one work-study class when you check-in your own class. Thanks for holding the space and wearing so many hats at once!

What is the specific procedure for each location?

Detailed versions are coming soon! But for now:

1) Organize Props

2) Mop AND Sweep floors

3) Respectfully clean altar (removing any old matches, dust, dying flowers)

4) Clean the bathroom, including the toilet, floor, emptying the trash, wiping the sink, and refilling the soap dispenser. Bring in toilet paper if needed.

5) Take out the trash

6) De-clutter the front desk

7) Place any errant items in the Lost and Found (at the Shala, finer items like jewelry go in the top drawer of the front desk, clothes go in the bin by the garden door)

8) Shala work-studies: please refill the water in the fountain every day. Thank you!!

Can I clean at odd hours?

Yes, but defer to that location's cleaning supervisor to make sure the time you have in mind works well for the overall schedule (ie it wouldn't make sense to have the Monday cleaning person come in at 11pm and the Tuesday cleaning person at 6 am)

Additional Shifts: Cleaning Towels once a week, cleaning blankets

Swan River also has a role for work-studies to clean the towels at each location once a week to earn time for classes. Several times a year the blankets are washed which is a great way to earn several hours at once!

How to do Check-in 101

1) Load MindBody Software from the "class schedule" page of www.swanriveryoga.com

2) In the upper right, enter the username and password appropriate to your location

3) Click on the classes tab

4) Double-check that the teacher listed IS the teacher who is teaching. If you need to change the teacher, click the box next to the teacher's name, and scroll down to the name of the person who is teaching.

5) Click on "Sign In" to the left of the name of the class which you are checking in.

6) As students enter and write their names on the sign-in sheet, enter their names (either last, first, or both will work) into the blank field at the top of the screen.

7) If they are new, ask them to fill out a release form, and click "add new" next to the blank field at the top of the screen to enter the new student's information. For payment, if they live in New Orleans, or are here for at least 3 months, then "buy" them their first class free. More on buying below. If they are visiting New Orleans, the drop-in fee is $14 at both the Shala and Downtown and the drop-in fee is $15 at Mid-City.

8) Whether they are old or new, tell them how many classes they have left on their packages.

9) If they come up as "unpaid" or if they simply want to add more classes, click "BUY" on the right hand side of the screen, same row as their name.

10) The system defaults to "services", this is appropriate for selling yoga class packages. Where it says "item", scroll down to the package they would like to buy.

11) Click "Add Item"

12) Select a payment method:

Choose their preffered mode of payment (for the free first class, its "comp / guest")

Cash is self-explanatory, for Checks please be SURE to write the check number in the "Check #" field. For Credit Card sales, the cursor will move to a blank field, waiting for you to swipe their card. You may also enter card info manually if need be.

We take Visa or Mastercard, but Not Amex or Discover.

You do not need to print a receipt for Swan River. If the student would like a receipt, please print one, but we tend to shy away from this just to save paper unless they make a request. Most people are glad not to have another receipt to tote around.

13) If you make a mistake, never fear! Simply click the big red "X" next to anything you may have added by accident, and it will be wiped clean by the system.

14) File the release forms in the appropriate places per each locations's request.

15) After the teacher has finished their dharma talk, bring your sign in sheet into the room and manually count the number of students to make sure everyone has signed in. Students CAN sign in after class, but we prefer to take care of as many transactions as possible BEFORE class begins.

16) After class, ask any one who has not yet signed in to come back and sign-in.

17) File the sign-in sheet in the appropriate folder per day of the week. Fill out a fresh sign-in sheet for the next class.

Class Packages: Shala, Downtown, Mid-City, which packages work for all locations, which packages are location-specific?

- Prana Packages (5,10, and 20) can be shared between all locations, and can be shared between people. These packages do not expire.

- The New Student Special is valid at all three locations. One usage per student!

- All other packages are location-specific, and are named accordingly. For example:

The Downtown Special is only usable Downtown

A Samadhi Package (Shala/Downtown) can only be used at those 2 locations

More Check-in Issues:

Do I greet them?  What if I can’t read their name?
Always welcome the student and ask them for their name (either first or last names work for the software), even as they are writing on the sheet – this will help them feel welcomed and you will pull up their info in time to tell them how many classes they have left.  This is key for preventing frustration later on. 

Where do I put the Release Forms?
Shala:  After entering the info, place the form in the tray which says “release forms”
Downtown:  Enter all the information, then file A – Z

What about placing students on the mailing list?
All students are automatically added to the email list if their emails are entered into the system, ie, email addresses no longer need to be added to constant contact.  BUT, if a student asks not to be put on the mailing list, please do NOT enter their email into the system. 

What do I do if a student is entered twice?
- Click on name of the version of the student that does NOT have classes, go to “profile”, in upper right, unclick “current”. This will make them disappear like magic.

Can students pay after class?
Yes, but they cannot fill out a release form after class. This must be done first.  Everything runs most smoothly when all the students are checked in BEFORE class.

Where do I put checks?
In the cash box, in the drawer under the change. 

Do I need to print a credit card receipt for Swan River’s records?
No, MindBody keeps all our records online.  We only need a printed receipt if the student asks for one.  

Downtown Check-in Issues:

Please leave the doors locked and PLEASE LEAVE THE AC on 78 degrees. Thanks! PLEASE make sure all candles are blown OUT when you leave.

NOTE:
If the system tries to pay with the “wrong” package

  1. Click on the student’s name
  2. Click on visits
  3. Click payment info
  4. reassign payment

Whichclass packages can be shared?
Prana packages. That's it!

All TIME-LIMITED packages can NOT be shared.

All PRANA PACKAGES (which do not expire) CAN be shared. This includes 5, 10, and 20 class packages.

The time limited packages which can not be shared are: the new student special, downtown special, one month unlimited, and 6 month and 1 year samadhi packages - all of those can not be shared. Thanks for being on top of this!

Which class packages expire?

The new student special (10 classes, 1 month)

The 1 month unlimited (1 month)

The Downtown Special (12 classes, 2 months)

The Samadhi Packages (6 months and 2 years)

NOTE: none of these packages can be shared.

Who is eligible for "specials"?

All those who live in New Orleans, Metairie or Kenner. By "live here" we mean those who are planning to stay in New Orleans for at least three months.

Specifics:

First free class: New, local students ONLY. one time use.

New Student Special: New, local students ONLY, to be proceeded immediately by the new student special. one time use.

Downtown special: Local students only, one time use

1 month unlimited: everyone

If someone wants to treat a friend as a one-time event:

For example if Master Patanjali wants to treat one person with his 1000 class, go ahead and enter him twice into the system, THEN add a contact log, describing the situation.

What is a contact log and how do I do it?
a) click on their name
b) to the left of visits, click on contact log, add a note saying: connie treated a friend on her 10 class today, and click "add contact log". Easy! This way, if there are any questions in the future, we will have the answer there.
When two students want to share a package

For example, Sita and Ram like to share their infinity package. We need to link them, so that only one of them needs to buy a package, and then they can both draw off of this one package. Here's how its done: Sita buys the package. Then, go to her profile (client home > profile) and choose "Relationships > none". In the search field, look up the name of the person Sita wants to share with (aka Ram). Then, where it says "Ram is the company of Sita, SCROLL ALL THE WAY DOWN to the 3rd to last option, and choose Ram shares a series with Sita. Save, and done! Now whenever they come in, they will both draw off the same package.

Gift Certificates and paying for other’s classes:
There are two ways to do this:

The simplest way for those who know exactly what they want to purchase:
If Sita were buying a package for Ram, you would look up her name (the purchaser) in the system, Go to the RETAIL SCREEN, then at the upper right, click “pay for another client”, then look up item.  This way, she can buy classes for his account.  When he comes in, the classes are already there. 

OR, if the purchaser is not sure, ie Sita thinks Ram might like some items from the boutique, or a massage with Lisa, they can buy a GIFT CERTIFICATE which can be used for anything. 

To buy a gift certificate:
Instead of Products or Services, Click Payments / Gift Cards.  Go through the steps etc – then when Ram comes in, he will have to choose what he wants, ie, he will still need to go through a “purchase” transaction. 

For both, offer them a printed gift certificate from the drawer, place it in an envelope.  

Selling merchandise and the journal

In the retail screen, click on "products" to the left. search by keyword to find the appropriate item.

***Please remember to also add details of this transaction in the blue journal at the Shala. You MUST do this, this is how the merchandise records are kept (in addition to MindBody) Thank you!

 

When someone comes in with a GIFT CARD:

- Go to the Retail Screen

- Enter the student's name, if it is not already selected

- On the Upper Left of the screen, where it says "Assign Gift Card", enter the Gift Card #.

- Now they have money in their account, but still no classes. So, go to the right, make sure you're on "Services", and buy them a class package.

- The payment method is ACCOUNT. Thank!

Teachers:

Remember, if you are doing your own check-in, you can buy yourself a Workstudy 1 Class in exchange for doing double-duty! (These classes can not be shared, fyi)

Make announcements at the end of class

Teachers need to be responsible for helping students understand how to put away the props.  Blankets:  Fold side out

Please do not leave your stuff around.  As much as we love you, this is a shared space.  People come to a yoga studio seeking peace, not our clutter of forgotten items!  Thank you for your attention. 

How to book a private which you are teaching:

1) If you have not been set up to teach privates in the system, or don't know, please email Keith. Everyone who has taught a private before 8/31/2010 HAS BEEN set up. If you are not sure, you can double-check this first with Keith- then, moving right along...

2) If the student has purchased the private already, go to step #3. If the student needs to purchase, please read on:

- Go to the retail screen, bring up the student's name

- Under Services (which normally defaults to "yoga classes" ) select "Private Yoga"

- Complete the purchase

3) In the upper right portion of the screen, where we normally choose either "Classes" or "Retail", choose "Appointments"

4) In the upper left, adjust the date to be the one on which you are teaching the private. Find YOUR NAME in the schedule, and then click the mouse somewhere in that day.

5) Adjust the time to be the actual time you taught the private.

6) Session Type: Private Yoga....

7) ***Please click "Apply Payment" so you can be paid : )

8) Click "Book (Student's) Appointment

9) If you need to delete this private, click on the private session once again on the schedule, and in the upper right click "early cancel".
